Who are we?

This website is for Voka’s local chamber of commerce and industry Antwerp Waasland.

With this statement (hereinafter the “Statement”) we would like to inform you about the way in which personal data is collected and processed by us, Voka Shared Services cvba, with registered office in Belgium at 1000 Brussels, Koningstraat 154-158 and with company number 0502.479.695 ( hereinafter “we”). Voka Shared Services cvba serves the Flemish Network of Enterprises, abbreviated Voka, the various Voka Chambers of Commerce and Voka Metropolitan.

Unless otherwise stated, we are responsible for the processing of the personal data collected by us in the context of our services and activities. We thus act as the so-called “controller”, i.e. the person who determines the purpose and means of the processing of personal data.

We do not intentionally collect or process personal data relating to persons under the age of 16.

 

What personal data do we collect?

The type of personal data we collect will depend on Your particular situation or the specific activities or services offered or requested.

“Personal data” means any information about an identified or identifiable natural person.

We collect personal data from you and or your representatives, staff, independent employees or directors (hereinafter jointly referred to as “You” or “Your”).

In particular, we collect administrative data and contact details. This allows us to identify or contact You, or to conduct business with You if You are a supplier or business partner. This personal data may include contact details such as Your name, address, telephone number, e-mail address and other unique details such as Your position, username and password to access our services.

We do not collect or process sensitive information, for example data relating to racial or ethnic origin, religious beliefs, physical or mental health or sexual orientation. If such personal data were provided to us, we will not use it and we will delete it.

“Cookies” are also used on our website. These are small pieces of information that are stored on your computer by the browser and allow us to register certain information about the users of our website (eg choice of language, duration of your visit to the page, …). They help to better tailor the website to your wishes, preferences and ease of use. More information about this can be found in our cookie statement.

 

How do we obtain your personal data?

Your personal data may be collected in various ways, including when:

  • You register as a member of Voka;
  • You fill in an (online) form issued by Voka Vzw, a Voka Chamber of Commerce and/or Voka Metropolitan;
  • You participate in an event or promotion organized by Voka Vzw, a Voka Chamber of Commerce and/or Voka Metropolitan;
  • You subscribe to a newsletter from Voka Vzw, a Voka Chamber of Commerce and/or Voka Metropolitan;
  • You participate in surveys.

We may obtain Your personal data directly from You or through third parties, such as Bel-first. If we do, we ask these third parties to confirm that the information was lawfully obtained and that we have the right to use the data obtained from them.

 

What do we need your personal data for?

We use and process your personal data for the following purposes:

  • Managing Your Membership

We may use Your personal information to manage Your membership, including sending you electronic invoices.

  • Information and communication

We may use your personal data to inform you about our activities, events, services, special offers or newsletters that we think you might be interested in.

If you no longer wish to receive such information, you can always request us to do so. You can find our contact details under point 11 of this Statement.

We may also communicate about our activities and events on third party websites. We recommend that you read the privacy statements of these third parties to understand their policies regarding the processing of personal data.

  • Services

We may use your personal data to realize your participation in our activities or events, including your participation in foreign missions.

  • Studies and Statistics

We may use your personal data for statistical purposes and for conducting studies. For example, we can use personal data to generate statistics about, for example, the demographic analysis of our members and the number of participants per event. We can also use such statistics for direct marketing purposes.

 

What is the legal basis for our processing of personal data?

We may use your personal data based on your consent with one or more processing purposes stated in this Statement. You can withdraw your consent at any time. More information about this can be found under point 11 of this Statement.

We may also use your personal data to the extent that this is necessary for the execution of an agreement that you have concluded with us or to be able, at your request, to take the necessary steps to enter into an agreement with us.

Finally, we can use your personal data when this is necessary for the representation of our legitimate interests, to the extent that this outweighs your interests and rights.

 

Who do we share your personal data with?

We will not share Your personal data with third parties unless (i) we have received your prior consent, (ii) we are required to do so under a regulation or legal process, or (iii) we are requested to do so by legislative or judicial authorities.

We wish to emphasize that Voka, the various Voka Chambers of Commerce and Voka Metropolitan are not regarded as third parties, and that Voka Shared Services cvba does share your personal data with them.

In addition, we call on certain subcontractors, such as ICT companies for the maintenance and management of our websites, consultancy firms, marketing agencies, and this in order to outsource part of our services to them. These subcontractors are also not considered third parties. We ensure that these subcontractors take the necessary technical and organizational measures to process your personal data lawfully and lawfully and under no circumstances make this known to third parties.

 

Where do we process and store your personal data?

Your personal data is processed and stored by us in Belgium, or in another country where our service providers have facilities. However, it is our clear intention to ensure that Your personal data remains within the European Union, with the exception of personal data of members who participate in foreign missions of Voka and/or a Voka Chamber of Commerce. However, such transfer outside the European Union takes place on the basis of your explicit consent and to the extent that this is necessary for the participation in the mission.

 

How long do we keep your personal data?

We will only keep Your Data for as long as this is necessary for the purposes of the processing stated in this Statement. Your personal data will also be retained and used for as long as necessary to comply with our legal obligations, resolve disputes or enforce our agreements.

 

How do we protect your personal data?

Your personal data is considered strictly confidential. We take appropriate technical and organizational measures to protect the personal data provided and collected against destruction, loss, accidental alteration, damage, accidental or unlawful access or any other unauthorized processing of personal data.

 

What rights do you have?

You can invoke all rights under Belgian law, and in particular the following rights:

  • You always have the right to access and inspect your personal data.

To gain access to your personal data, you must submit a written request to us in the following manner:

  • You always have the right to have incorrect, incomplete, inappropriate or outdated personal data removed or rectified. In order to exercise these rights, you can contact us as follows:

  • As a member, you have the right to object to the processing of your personal data or to withdraw your previously given consent for a specific processing of personal data. You can contact us in writing for this:

When exercising this right, we request that you clearly indicate which processing(s) you object or which consent you wish to withdraw. We would like to point out that objection to certain processing or withdrawal of your consent for certain processing of your personal data may mean that you will no longer be informed or will be able to use activities or services offered by us.

If you wish to exercise your rights, we ask you to provide us with proof of Your identity in order to prevent any unauthorized disclosure or processing of Your personal data. We therefore preferably ask you to add a copy of the front of your identity card to your application.
